Open House Follow-Up Email Templates for Real Estate Agents

Published September 8, 2026 · By Open House Ally

Practical, editable open house follow-up email templates — from an immediate thank-you to showing requests, financing questions, similar homes, and longer-term nurture. Each template is ready to copy and adapt to your own voice.

What Makes an Open House Follow-Up Email Effective

A good open house follow-up email is timely, specific, and respectful. It reaches the visitor while the open house is still fresh, references the property they actually attended, and offers a clear next step rather than a generic sales pitch. The most effective messages feel like they came from a person — not a form letter sent to every visitor identically.

Effective follow-up also reflects what the visitor submitted. Someone who reports a near-term timeline may benefit from a different message than someone who reports a longer timeline or says they are just browsing. Adjusting the tone and the specific information offered—such as a showing, comparable listings, or an invitation to ask questions—makes the message more relevant without assuming what the visitor will do next.

Throughout, respect for the visitor's choices matters. If someone asked not to be contacted further, or unsubscribed from your messages, honoring that is not optional. A follow-up system is only as strong as the trust it preserves.

What to Review Before Sending Follow-Up

Before you send any follow-up, take a moment to review what you know about the visitor and what they asked for. A few quick checks make your messaging more relevant and avoid overstepping:

  • Timeline — Are they ready to move soon, exploring over a few months, or just browsing?
  • Representation — Are they already working with an agent? If so, respect that relationship.
  • Interests — Did they request a private showing, pricing information, similar homes, or financing details?
  • Email preference — Is continuing email follow-up permitted, or did the visitor request no further follow-up or unsubscribe?
  • Property context — The address, price, and listing link you reference should be accurate.

These details shape which template fits and how you adapt it. They also determine whether an automated touch is appropriate or whether you should reach out personally instead.

Open House Ally Email Personalization Fields

The templates below use personalization placeholders. If you use Open House Ally, these fields are filled automatically from your visitor and property records when a message is sent. If you do not, simply replace each placeholder with the matching detail before you send.

Available personalization fields:

{{visitor_first_name}}{{visitor_name}}{{agent_name}}{{agent_phone}}{{agent_email}}{{agent_brokerage}}{{property_address}}{{property_city}}{{property_state}}{{listing_price}}{{property_listing_url}}[unsubscribe]

Bracketed prompts like [Add showing scheduling link if appropriate] are not automatic fields — they mark where you should insert your own link or resource before sending.

Every message you send should include a real way for the recipient to opt out. When sent through Open House Ally, a working unsubscribe link is appended automatically; if you send these templates manually, include your own opt-out option.

Immediate Open House Thank-You Email

This is your first touchpoint — sent right after a visitor checks in. It thanks them for attending, recaps the property, and opens the door to further conversation. Keep it warm, brief, and helpful.

Best for: Visitors who check in with an email address and have not unsubscribed or bounced

Suggested timing: Within minutes of check-in

Subject: Thanks for visiting {{property_address}}!

Hi {{visitor_first_name}},

Thank you for visiting our open house at {{property_address}}, {{property_city}}, {{property_state}} today!

I'd love to help you with your home search and answer any questions you may have about this property or others in the area.

Property Details:
Address: {{property_address}}, {{property_city}}, {{property_state}}
Price: {{listing_price}}
View Full Listing: {{property_listing_url}}

Feel free to reach out anytime:
{{agent_email}}
{{agent_phone}}

Best regards,
{{agent_name}}
{{agent_brokerage}}

[unsubscribe]

Note: In Open House Ally, the initial thank-you and property-information email is sent as part of the check-in workflow. If a visitor selected no further follow-up, subsequent automated follow-up emails are skipped. An unsubscribe request also suppresses future applicable automated email.

Following Up With Visitors Who Already Have an Agent

When a visitor is already represented, your follow-up should respect that existing agency relationship. A brief, professional thank-you is appropriate; do not solicit representation or attempt to come between the visitor and their agent.

Best for: Visitors who indicated they are already working with an agent

Suggested timing: Same day or the morning after the open house

Subject: Thanks for visiting {{property_address}}

Hi {{visitor_first_name}},

Thank you for stopping by the open house at {{property_address}}! It was a pleasure meeting you.

I see you're already working with an agent — I'll respect that relationship. If you or your agent would like any additional information about this property, I'm happy to coordinate.

Note: This template does not solicit representation and respects the visitor's existing agency relationship. Keep it courteous and brief.

AI-Assisted Email Drafting

Open House Ally offers optional AI-assisted email drafting for follow-up messages. When enabled (it is on by default, and you can turn it off), the saved template you have customized serves as the tone and style guide. At send time, relevant submitted kiosk answers may provide context for the rewritten message.

If the AI step is unavailable for any reason, the saved template is used as a fallback. Your signature block (name, brokerage, phone, email, and any photo or logo you have configured) and a working unsubscribe link are appended automatically. There is no per-message review or approval step in the automated sending flow.

AI-assisted drafting does not override a visitor's choices. If a visitor selected no further follow-up or has unsubscribed, those suppressions still apply. Submitted answers provide context, but they should not be treated as independently verified information or proof of motivation, financial readiness, or intent. You remain responsible for reviewing and maintaining your saved messaging so it reflects how you want to communicate with visitors.

Automated Email vs. Personal Follow-Up

Automated email is a useful starting point, not a complete follow-up strategy. In Open House Ally, the initial thank-you and property information email is sent at check-in, and next-day messages are sent to eligible visitors based on their AllyScore category based on submitted answers — hot, warm, or cold. These automated touches keep you timely and consistent.

It is important to understand how suppression works. The first property-information email is sent at check-in even when a visitor selected no further follow-up, so they still receive the listing details. However, any subsequent next-day automated emails are skipped for those visitors. An unsubscribe request suppresses future applicable automated email. These rules help respect visitor choices within an automated system.

Automation does not replace the agent, and automated delivery does not count as personal follow-up. When a visitor requests information or personal assistance, the agent can continue the conversation directly through an appropriate personal follow-up. Use the templates and automated touches to stay organized and prompt — then take over personally where it matters most. For the full workflow from check-in to follow-up, see our interactive demo.
